Job Description:

At Roofs in a Box, a leading roofing company, we are seeking a highly organized and detail-oriented Bookkeeper and Sales Order Processor to join our team. The ideal candidate will have experience in bookkeepingaccounts receivable, and sales order processing, with proficiency in using QuickBooks Online and Bill.com. If you have experience in the construction or roofing industry and possess strong English skills (B2 - C1 level), we would love to hear from you!

Key Responsibilities:

Bookkeeping Responsibilities:
  • Verify and Post Transactions: Maintain subsidiary accounts by verifying, allocating, and posting financial transactions accurately.
  • Account Reconciliation: Reconcile subsidiary accounts by ensuring all entries are balanced and resolving discrepancies.
  • Customer Invoicing and Payments: Create and send all customer invoices, track payments, and process payments using QuickBooks Online.
  • Vendor Billing: Create vendor bills in the accounting system and obtain payment approval from the appropriate supervisor.
  • Accounts Receivable: Perform basic accounts receivable duties, including contacting clients and/or account managers to ensure timely collection of payments.
  • Recordkeeping: Maintain proper filing systems and organization of financial documents, including invoices and payment records.
Sales Order Processing Responsibilities:
  • Invoice Orders: Create and send invoice orders for signature by both the client and company representative, ensuring all orders are accurately documented.
  • Order Evaluation: Review all sales orders and forms for accuracy, notifying management of any discrepancies or issues with orders.
  • Document Filing: Maintain accurate records by properly filing all sales order documents.
  • Order-to-Cash Process: Understand and manage the order-to-cash process, from order creation through invoicing to payment collection.

Basic Qualifications / Skills:

  • Strong data entry skills with attention to detail.
  • Basic understanding of accounts receivable and accounts payable processes.
  • General understanding of GAAP (Generally Accepted Accounting Principles).
  • Attention to detail and ability to handle confidential information.
  • Ability to multi-task and efficiently switch between tasks in a dynamic environment.
  • Familiarity with the order-to-cash process.
  • Experience with QuickBooks Online and Bill.com preferred.
  • B2 level English proficiency (intermediate to advanced) is required for communication with international clients and handling documentation in English.

Education, Experience, and Licensing Requirements:

  • High School Diploma or equivalent; college-level accounting courses preferred.
  • Previous accounting or finance experiencesales order processing experience required.
  • Experience with accounting software, specifically QuickBooks Online and Bill.com, is preferred.
  • Roofing or construction industry experience is a plus but not required.
  • Basic proficiency in Microsoft Office (Excel, Word).
  • B2 English proficiency or higher (required for interaction with international clients and handling documents in English).
