I.T. Virtual Assistant (CRM & Automations)

About the Role

We’re looking for a proactive and tech-savvy I.T. Virtual Assistant to support our Digital Technical Project Manager in managing workflows, lead management tools, and digital automations. You’ll work behind the scenes to keep our systems organized, ensure data flows properly across platforms, and help maintain smooth operations between sales, marketing, and operations teams.

What You’ll Do

  • Assist in setting up and maintaining CRM systems (HubSpot, Zoho, Pipedrive, or similar)
  • Support automation workflows across tools (e.g., Zapier, Make, CRM-native automations)
  • Help integrate CRM with other tools (CMS, spreadsheets, analytics, email platforms)
  • Monitor workflows and troubleshoot errors in automations, while keeping up communication with internal teams.
  • Generate and format reports (pipeline performance, leads tracking, campaign results)

Requirements

  • 1+ year of experience in a technical support, operations assistant, or similar role.
  • Hands-on familiarity with at least one CRM platform (HubSpot, Salesforce, Zoho, Pipedrive, etc.)
  • Comfortable working with spreadsheets (Google Sheets/Excel: formulas, lookups, pivot tables) paired with Google apps script & Python.
  • Willingness to learn and manage automations existing in Zapier and in our own internal platforms
  • Advanced English (B2+ required): You must be able to communicate confidently and professionally in English. If you do not meet this level, this role may not be a good match.

Nice to Have

  • Knowledge of lead management processes (capturing, qualifying, routing)
  • Exposure to analytics platforms (Google Analytics, ad tracking, and pixels)
  • Basic familiarity with CMS platforms (WordPress, Webflow)
